Someone asks how much your business made last month and you answer "roughly." Maybe you know how much you invoiced. But not how much you actually collected, how much went to ads, tools and commissions, or how much you kept.
You don't need to be an accountant to understand your business. You need to see four or five clear numbers, in the same place, every month.
The numbers that actually matter
For a service business, the financial picture comes down to these questions:
- How much comes in every month, guaranteed? The total from your clients on monthly payments.
- How much did I collect this month? Not what you invoiced, what actually came in.
- How much do I expect next month? So you know whether you can invest or need to adjust.
- Who's behind? Money that's yours and hasn't arrived.
- How much did I spend? On ads, tools, salaries and commissions.
- How much do I keep? Income minus expenses.
The Finances module in CRM Blides shows exactly that: fixed monthly income, collected this month, expected next month, overdue, taxes and a monthly income vs. expenses chart.
Why the numbers add up on their own
The key is that you don't have to fill out a separate spreadsheet. The numbers in Finances come from what you already do in the CRM:
- When you record a new contract, the amount and renewal date are saved.
- When you record a payment, it adds to what's been collected and the next invoice is created.
- When an invoice passes its due date unpaid, it shows up under overdue.
- When you log an expense, it goes into that month's chart.
If you want to understand how collections are organized, we explain it in how to collect monthly payments on time.

Expenses, with no surprises
On the money-out side, the Expenses module separates the types of expenses a business really has:
| Expense type | Example |
|---|---|
| One-time | A new computer, a repair at your location |
| Monthly | Hosting, rent, a subscription |
| Installments | Equipment you pay off over six months |
| Daily ad spend | What you invest every day in Meta Ads |
You also get a payment calendar to see what's due this week, and a tools and logins section where you store the platforms the company pays for, with their passwords encrypted. That last one solves a very common problem: paying for months for a tool nobody uses because nobody remembered it existed.
Your team's commissions
If you work with salespeople or managers who earn commission, the CRM calculates it as a percentage or a fixed amount for each person. That prevents arguments at the end of the month and shows you how much each sale really costs you.
And if you have permanent staff, the HR section lets you record each worker's salary and payday, plus any extra payments. It all adds up to the same picture.
Reading the chart without overthinking it
The monthly income vs. expenses chart tells you more than any long report. Three simple readings:
- If the income bars go up and the expense bars hold steady, you're growing in a healthy way.
- If expenses are growing faster than income, review your ads and tools before they eat into your margin.
- If what you've collected is well below what you've invoiced, your problem isn't selling, it's collecting.
With your daily ad spend logged, you can also compare it with the clients who came in and find out how much it costs you to land each one. We talk about that in how much it costs to get a client with ads.
"But I already do this in Excel"
Maybe so, and if it works for you, great. The difference is that in a spreadsheet you have to copy every payment, every expense and every invoice by hand, and one formula error is all it takes for the month's number to be wrong. In the CRM, the numbers come from what you've already recorded. We compare both approaches in CRM vs. spreadsheets and notebooks.
An honest note: the CRM doesn't replace your accountant or your tax return. It gives you a day-to-day view of the business so you can make decisions based on data. In fact, it makes your accountant's job easier, because the data can be exported.

Your next step
Today, without looking at anything, write down how much you think you kept last month. Then do the real math with your payments and expenses. If the two numbers don't match, you need to see them on one screen. Send us a WhatsApp message and we'll show you the CRM Blides Finances module in a demo.
